Appropriate Use of ChatGPT or AI

Purpose
ChatGPT and AI are tools to support efficiency and productivity. It should be used to assist, not replace, the expertise, judgment, and creativity that our clients hire us for. This policy outlines acceptable use, prohibited uses, and company standards for integrating ChatGPT into daily work. 

Acceptable Use
Employees may use ChatGPT for:

  • Brainstorming ideas, outlines, schedules, timelines, names, titles, scripts, logistics, and checklists
  • Summarizing notes, documents, and correspondence
  • Conducting research
  • Supporting data analysis
  • Proofreading and editing (with AP style applied)
  • Drafting website headlines (H1 & H2)
  • Writing SEO blogs (reusing and repurposing existing client content only)

Unacceptable Use
ChatGPT is not to be used for:

  • Graphic design
  • Original content creation that bypasses human expertise

Prohibited Functions
When using ChatGPT, employees must avoid the following:

  • Inputting any information that is copyrighted, confidential, trade secrets, or proprietary information specific to a client or any BRC company. 
  • Copying and pasting output directly into deliverables without significant human editing. 
  • Adding fluff or unnecessary wording
  • Overuse of adjectives
  • Using “robot” phrases or unnatural wording not common in everyday communication
  • Overuse of emojis
  • Use of specific emojis including: Holstein cow 🐄, grass 🌾, wheat 🌿, or shining star 🌟
  • Use of em dashes (—) in place of proper punctuation
  • Allowing extra “filler” words to remain in final drafts
  • Repetitive sentence structures common to ChatGPT, such as overuse of introductory clauses

Writing Standards

  • All content must follow AP Style for grammar, spelling, capitalization, and punctuation.
  • Every word should count: eliminate fluff, jargon, or unnecessary phrasing.
  • Any content should be edited and refined to reflect the authentic voice of each client while remaining professional, concise, and human.

Expectations for Use

  • ChatGPT output is a drafting tool, not a final product. Users are required to review, revise, and refine all outputs before sharing or publishing.
  • It is never acceptable to present ChatGPT text as-is.
  • Employees are responsible for ensuring all client-facing work reflects original ideas, creativity, and professional standards.
  • Our clients hire us for expertise and originality—taking shortcuts by over-relying on AI is not an approved use of AI.

This policy will be reviewed quarterly.
