ENERGY, UTILITIES, and LIGHTS CONSERVATION POLICY

This policy outlines the organization’s commitment to responsible energy usage and the conservation of lighting resources within our small office. By implementing energy-efficient practices, we aim to reduce our environmental impact and contribute to a sustainable workplace.

  1. Energy Efficiency Awareness:
    1. Employees are encouraged to be mindful of energy consumption and take steps to reduce unnecessary energy usage.
    2. During business hours, OSHA recommends a temperature range of  68 to 76 degrees Fahrenheit. Our preferred temperature setting is 76 degrees.
    3. During non-business hours, our policy is to set each thermostat on 78 for air conditioning and 68 for heat during winter. 
  2. Lighting Practices:
    1. Lights should remain on in all common areas of the building during normal business hours. This includes the main office (Brenna), the large office/corridor where the fireplace is. 
    2. Turn off lights in unoccupied areas, conference rooms, break rooms, work room, foyer, hallways, kitchen and restrooms when not in use. 
    3. Those utilizing private offices may use their preferred discretion as to their lighting. 
    4. Use natural light to the fullest extent possible during daylight hours to minimize the need for artificial lighting.
  3. Energy-Efficient Lighting: Whenever possible, use energy-efficient lighting fixtures, such as LED bulbs, which consume less energy and have a longer lifespan.
  4. Report any malfunctioning or flickering lights to the facilities team for prompt repair or replacement.
  5. Electronics: Turn off computer monitors, printers, chargers, and other electronics when not in use. Power down computers at the end of the workday to conserve energy.
  6. Climate Control: Keep windows and doors closed when heating or cooling systems are in use to avoid unnecessary energy loss.
  7. Appliances: Unplug personal appliances and chargers from outlets when they are not actively in use.

Reporting Violations: Employees who observe violations of this policy or have suggestions for improving energy efficiency are encouraged to report them to the facilities team or designated personnel.


Company-Provided Utilities Policy

As part of our commitment to supporting our valued employees and providing comprehensive compensation packages, our company offers company-provided housing to eligible employees such as seasonable interns. To ensure a comfortable living environment, the company has established a policy regarding utility expenses associated with this housing benefit.

1. Company-Provided Housing and Utilities Coverage:  Employees who are residing in company-provided housing as part of their compensation package will have their utility expenses covered by the company up to a monthly stipend of $300. These utilities typically include electricity, water, gas, and other essential services necessary for comfortable living conditions.

2. Exceeding the Monthly Utility Stipend:  If the total utility expenses for the month exceed the $300 stipend provided by the company, the excess amount will be the responsibility of the employee. The company will promptly notify the employee of any overage beyond the stipulated monthly amount.

3. Reimbursement Options for Excess Utility Expenses: Upon notification of overage, employees have the following options for reimbursing the company for the excess utility expenses:

   a. Check or Cash Payment: Employees may choose to reimburse the company by providing a check or cash equivalent to cover the additional utility costs. 

 b. Payroll Deduction: Employees may authorize the company to deduct the excess amount from their next paycheck. This will be reflected in the payroll records and adjusted accordingly.

4. Record Keeping and Transparency:  The company will maintain accurate records of utility expenses associated with company-provided housing. Employees will receive clear and transparent notifications detailing any overages and the subsequent reimbursement process.

5. Communication and Cooperation:  It is essential for employees to communicate promptly with the company regarding any concerns or queries related to utility expenses. Open communication ensures mutual understanding and prompt resolution of any issues that may arise.
