Keyless Entry Access Policy

To maintain building security, protect company assets, and ensure appropriate access to the RHD office, all employees must follow the guidelines below regarding the use of the RHD keyless entry system.

Access Code Eligibility
Access codes will be issued only to employees who physically work out of the RHD office and have a designated office space within the building.
Eligible employees include:

  • Team members with assigned offices
  • Employees whose job responsibilities require regular on-site presence
  • Employees who may require access outside of normal business hours for business purposes

Employees who do not physically work out of the RHD office will not be assigned an individual access code.
This includes, but is not limited to:

  • Remote employees
  • Team members who visit occasionally
  • Individuals whose job responsibilities do not require independent building access

These employees may still enter the building during normal business hours by being let in by an authorized team member.

Access Code Security & Responsibility
Access codes are confidential and assigned to one individual only.
Employees may not:

  • Share their code with any other person
  • Allow unauthorized individuals into the building
  • Use their code for non-business purposes

If an employee believes their code has been compromised, they must notify HR and the VP of Administration immediately so the code can be reset.

Failure to protect access credentials may result in revocation of access privileges and/or disciplinary action.

Building Security Standards
Employees with access codes are expected to:

  • Ensure doors close securely behind them
  • Not prop doors open unattended
  • Confirm that any visitors entering after hours have proper authorization
  • Exercise good judgment in maintaining overall office security Access to the building is for business purposes only.

Deactivation of Access
Access codes will be:

  • Deactivated immediately upon termination of employment
  • Removed if an employee transitions to a role that no longer requires physical office access
  • Updated or reassigned at management’s discretion

Management reserves the right to review and adjust access permissions at any time.

Professional Conduct & Accountability
This policy applies to all employees granted building access through the RHD keyless entry system.

Violations of this policy will be documented and may result in corrective action, including revocation of access privileges.
