Eligibility
Full-time salaried employees are eligible to accrue paid vacation hours, as specified in their employment contract. These hours are accrued on a pro-rated basis each payroll period and are viewable on each pay stub as well as in QuickBooks Workforce.
General PTO Guidelines
PTO reporting operates on an honor system. Employees are expected to notify the HR director, their immediate supervisor, and to accurately self-report their time off on the Vacation Sheet.
Notification Requirements for Time Off or Tardiness
- Unplanned Absences or Delays: Employees must contact the HR Director directly if they will be absent, taking sick leave, or running more than 15 minutes late.
- Planned Time Off: Employees should request planned leave at least one week in advance. The request should be communicated to the HR Director, with details entered on the Vacation Sheet.
Pre-Scheduled Time Off
- Submitting Requests:
- Notify the HR Director at least one week before planned time off, and self-report it on the Vacation Sheet.
- For graphic designers, block off these hours on the Deadline Sheet to prevent project assignments during time off.
- Self-Reporting:
- Enter vacation hours on the Vacation Sheet in the appropriate section. If unpaid leave is required, specify this in the designated column.
Notifying Others of Your Absence
- Vacation Sheet: Enter planned days off on the Vacation Sheet for team visibility.
- Basecamp Status: Update your Basecamp status to “Out of Office” to alert team members of your absence.
Emergency Time Off
- Notify the HR Director and your immediate supervisor as soon as possible if an emergency arises and you will be absent from work that day or more than 15 minutes late. Same day vacation requests should be submitted no later than 8:15 a.m. to notify that HR director that you are absent.
Holiday Adjacent PTO
If vacation or sick leave is taken on the workday immediately before or after a paid company holiday, the time off will be deducted at twice the hours. This policy addresses the additional burden on team members during holiday periods.
Paid Vacation & Sick Leave
As a private company, RHD offers paid vacation and sick leave at its discretion.
- Paid Vacation: While RHD observes certain federal and state holidays, the company calendar includes additional vacation days, such as Good Friday, that may not be recognized as federal holidays. A complete list of company holidays is available upon request. Those state holidays are listed here.
- Sick Leave & FMLA Compliance: We voluntarily adhere to the U.S. Family and Medical Leave Act (FMLA) of 1993. Employees taking sick leave for a serious health condition must provide a written doctor’s recommendation, detailing the start and end dates of work restrictions.
Compliance & Accountability
Effective July 19, 2022, vacation forms are no longer required. Instead, employees will use the honor system to accurately notify the HR director of any absences and to record their time on the Vacation Sheet. Any omission or fraudulent reporting of hours will result in termination.
